Terms and Conditions for Papilio House – Luxury Women’s Retreats

Welcome to Papilio House, a trading name of Purchills Ltd., registered in England and Wales under company number 15350246.

These terms and conditions apply to all retreat bookings. By making a booking, you agree to these terms. Please read them carefully.

1.1. Papilio House operates as a luxury women’s-only retreat service, providing inclusive accommodation, meals, and scheduled activities.
1.2. Registered address: 2nd Floor College House, 17 King Edwards Road, Ruislip, London, United Kingdom, HA4 7AE.

2.1. Retreat packages include:
- Breakfast, lunch, and dinner with drinks served during meal times.
- Additional drinks or snacks are chargeable unless provided as part of a scheduled activity.
- Scheduled group activities, such as foraging, meditation, and workshops.
2.2. Optional individual services, including tennis lessons, massages, and life coaching, are chargeable in advance and not included in the base package price.

3.1. Retreats are open to women aged 18 years and over.
3.2. Dietary requirements must be communicated at least two weeks before the retreat start date. While we accommodate most dietary needs, failure to notify us in advance may result in limited options.
3.3. Papilio House offers one ground-floor accessible room. However, the property’s landscape, including gravel paths, may present challenges for some guests with mobility limitations. Please contact us to discuss specific accessibility needs.

4.1. A 30% non-refundable deposit is required at the time of booking to secure your place.
4.2. The remaining balance must be paid no later than 12 weeks before the first day of the retreat.
4.3. Payments can be made via BACS, credit, or debit card.

5.1. Guest cancellations:
- Cancellations made more than 12 weeks before the retreat start date will forfeit the 30% deposit.
- Cancellations made within 12 weeks of the retreat start date will not receive any refund.
- If we successfully re-book your spot, we will refund the full amount paid, minus a 10% administrative fee.
5.2. Papilio House cancellations:
- In the unlikely event that we need to cancel a retreat due to unforeseen circumstances, we will offer either a full refund or the option to transfer your booking to a future retreat.

6.1. Guests are expected to behave courteously and respectfully towards other attendees and staff.
6.2. Unacceptable behavior, including but not limited to disruptive or offensive conduct, may result in the guest being asked to leave the retreat without reimbursement.

7.1. By participating in the retreat, guests accept personal liability for any risks involved in activities. Guests should ensure they have suitable insurance to cover personal accidents, loss, or damage.
7.2. Papilio House is not responsible for injuries, illnesses, or accidents that occur during the retreat, except where caused by gross negligence on our part.

8.1. Guests are responsible for ensuring they are in suitable physical and mental health to participate in retreat activities.
8.2. Papilio House follows all necessary health and safety guidelines, including those related to COVID-19, as required by local authorities.

10.1. These terms and conditions are governed by the laws of England and Wales. Disputes will be subject to the exclusive jurisdiction of the English courts.
